Privacy policy
How we look after the personal information you share with us when you enquire, book or stay.
Last updated: 21 September 2026
1. Who we are
The Roost Devon is a boutique guest house at 33–35 High Street, Cullompton, Devon EX15 1AF, operated by Reliable Property Rentals Ltd ("we", "us", "our").
We are the data controller for personal information collected through this website and when you book or stay with us. If you have any questions about this policy, contact us at hello@theroostdevon.com or on +44 7738 272475.
2. What information we collect
We only collect what we need to reply to you and look after your stay:
- Enquiries: your name, email address, telephone number (optional), the type of enquiry and the message you send through our contact form.
- Bookings and stays: your name, contact details, the names of the people staying, arrival and departure dates, room and any special requirements you tell us about, such as dietary or accessibility needs.
- Payments: payment details are handled by our payment provider. We do not store full card numbers.
- Correspondence: emails, calls and messages between you and us.
- Technical information: basic information your browser sends to our web server, such as IP address, browser type and the pages requested.
3. How and why we use it
We use your information to:
- respond to your enquiries and manage your booking (performance of a contract, or steps you ask us to take before entering one);
- welcome you, look after you during your stay and handle any issues afterwards (contract and legitimate interests);
- meet our legal obligations, such as accounting and tax records (legal obligation);
- keep our website secure and working properly (legitimate interests).
We do not sell your personal information, and we do not send marketing emails unless you have asked us to.
4. Cookies and similar technologies
When you accept our cookie notice, we save that choice in your browser's local storage so we do not ask you again. It stays on your device and is not sent to us.
Our pages load fonts and icons from Google Fonts, which means your browser connects to Google's servers and your IP address is shared with them. Links to Google Maps take you to Google's own site, where their privacy policy applies.
You can clear or block local storage and cookies in your browser settings at any time. Some parts of the site may not work as intended if you do.
5. Who we share it with
We share personal information only with organisations that help us run The Roost, and only as far as needed:
- our website hosting and email providers;
- payment and booking service providers;
- our accountants and professional advisers;
- the police, courts or regulators where the law requires it.
These providers act on our instructions or under their own data protection duties. Where information is processed outside the UK, we use providers who apply appropriate safeguards.
6. How long we keep it
We keep enquiry emails for up to 12 months unless they turn into a booking. Booking and financial records are kept for six years to meet tax and accounting requirements. When we no longer need your information, we delete or anonymise it.
7. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is inaccurate or incomplete;
- delete your information, where we have no good reason to keep it;
- restrict or object to how we use it;
- provide it in a portable format, where this applies.
To use any of these rights, email hello@theroostdevon.com. We will reply within one month.
8. Keeping your information safe
We take sensible technical and organisational steps to protect your information, including secure connections to our website and restricting access to those who need it. No online service can be guaranteed completely secure, so please avoid sending sensitive details, such as full card numbers, by email.
9. Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed. Significant changes will be highlighted on this page.
